Background

The Al-Salam Dental Center provides dental services 24 hrs/ 7 days a week and is open on national holidays as well. It consists of 11 Clinics, plus an X-ray imaging room equipped with optional: 2D/3D Cone beam imaging system along with Panoramic and Cephalometric X-Ray machines. Spacious and comfortable reception and a waiting area, in addition to a Q-system – Appointment numbering system to ensure Visitors (walk in or people with appointments) are well accommodated,Text messaging confirmation system is available for patients to remind them of their next appointment. (Patients usually receive this confirmation text message around 8 PM one day ahead of their scheduled appointment).

Business Needs & Challenges

Al-Salam Dental Center was finding it increasingly difficult to work with Patient Records. Running a 24x7 Dental Service meant that there is no specific timespan where the resources are available to fetch the Medical Records of patients who are being treated. It takes minutes to fetch a patient's record from the filing cabinet. Time is not a luxury the Dental Center can afford. Furthermore, as the number of patients grew, the storage required to save the records needed to grow as well. This added additional challenges to the Center, not to mention the associated costs.

The Dental Center tried, with the help of the Hospital, to establish basis for Electronic Medical Records. However, since EMR was not yet approved by the Ministry of Health in Kuwait, the Center needed an alternative way to store and retrieve Medical Records.

Characteristics of a viable solution

A viable solution should have the following capabilities:

  1. Quickly scan Medical Records, double-faced documents included, into the system.
  2. Associate the scanned document with metadata regarding the type of document, date issued, date scanned, doctor or physician, etc.
  3. Store these images in Patient's Records securely.
  4. Allow retrieval of this Digital Record easily using search or link.
  5. Intuitive controls to view Digital File contents on the screen using mouse and touch controls where possible.
  6. Printing part or all of the file with a single click.

Solution

Al-Salam Dental Center found that SharperClinic's Digital Patient Files feature meets the requirements. The following features are made available:

  • Uses high-speed scanners with the ability to scan hundreds of pages per minute double-sided.
  • Scanned documents can be sorted into Document Types, Document Date, Doctor or Physician, Scanned Date, etc.
  • These documents are attached to a patient's Medical Record automatically.
  • Dentists may use the Hospital's system to find the appointment and then find the patient's record and click a button to open her/his Digital File.
  • It is also possible to find the record using any known data about the patient, like part of name, phone number, file number, etc. When the record is found, it takes a single click to open the Digital Files.
  • It is possible to sift through the pages of the Digital File forwards or backwards.
  • Intuitive controls to view Digital File contents on the screen using mouse and touch controls where possible.
  • Single-Click Printing of part or all of the Digital File.
